 How can I send a notification upon a specific status transition? Export knowledge base Export     SubscribeSubscribe      Show article info

Some users may want to send a notification only upon a specific status transition.

 

Taken from a real-world example: Only when the issue is set to status "Solved" from the status "Work in progress"

 

The usual case is that you just want a notification when an issue is set to a status, and don't care what the previous status was.

 

In the case you do need to have a notification for the specific status transition, there is a workaround:
Using an issue rule to set a value in a hidden field that is used by another issue rule to trigger a notification.
 
Creating the hidden field:

  • Create a custom text field (let's call it "SendNotification").
  • Add it to the issue field configuration that the project uses. 
  • Go to the field, and expand the section "edit access", and set everything to "No access".

Now, there is a hidden field on the issue that we can use in a couple of linked issue rules, outlined as below:
(Edit issue rules in General > Settings > Issue configurations > Issue rules)
 
Rule 1:
(Rule should be active for changed issues, and only in the relevant project(s))
Criteria:

  • Status Equal "Work in progress" 
  • (any other relevant criteria, for example if this behaviour should be limited to a specific issue type or such)

Rule Actions:

  • SendNotification = Send (or some other word)



Rule 2:
(Rule should be active for changed issues, and only in the relevant project(s))
Criteria:

  • Status Equal "Solved"
  • (any other relevant criteria, for example if this behaviour should be limited to a specific issue type or such)
  • SendNotification Equal "Send"

Rule Actions:

  • SendNotification = " " (a space)

Notifications:

  • Here, select the users and/or groups that should receive the notification.

 

 

With this setup, the notifications should be sent when the issue is set to "Solved".

Note: The "SendNotification" field is not visible on the issue, but the changes to it are shown in the issue history. This is currently a known issue.
